1. Introduction

Ryan Labs is committed to protecting your privacy and giving you control over your personal data. Users may request deletion of their data by contacting us at hello@ryanlabs.in.

Upon receiving a valid request, we will process and delete your data within 30 days, unless retention is required by law. This policy explains your rights to request deletion of your personal information and how we handle such requests across all Ryan Labs services, including ClinixPro, StitchDesk, and LaundryApp.

This policy is designed to comply with data protection regulations including GDPR, India's Digital Personal Data Protection Act, and WhatsApp Business API requirements.

2. Your Right to Data Deletion

You have the right to request deletion of your personal data at any time. This includes:

  • Account information (name, email, phone number, business details)
  • Customer and patient data stored in your account
  • Transaction and billing history
  • Usage data and activity logs
  • Communication records (emails, messages, support tickets)
  • Any other personal information associated with your account
  • Business-specific data (orders, measurements, service records)

3. How to Request Data Deletion

You can request deletion of your data through any of the following methods:

3.1 In-App Data Deletion

  1. Log in to your account
  2. Navigate to Settings → Privacy & Data
  3. Select "Delete My Data" or "Request Account Deletion"
  4. Confirm your request and provide a reason (optional)
  5. You will receive a confirmation email

3.2 Email Request

Send an email to hello@ryanlabs.in with the subject line "Data Deletion Request" and include:

  • Your full name
  • Account email address
  • Phone number associated with the account
  • Confirmation that you want to delete all personal data
  • Reason for deletion (optional but appreciated)

3.3 Phone or WhatsApp Request

Contact our support team at +91 9642170830 via phone or WhatsApp and request data deletion. Our team will verify your identity and process your request.

3.4 Written Request

4. Identity Verification

To protect your privacy and prevent unauthorized data deletion, we may need to verify your identity before processing the request. We may ask you to:

  • Confirm your account details (email, phone number)
  • Answer security questions
  • Provide a government-issued ID (in specific cases)
  • Confirm via a verification link sent to your registered email

5. Data Deletion Timeline

5.1 Processing Time

Once we receive your data deletion request:

  • We will acknowledge receipt within 2 business days
  • We will verify your identity within 5 business days
  • Data deletion will be completed within 30 days of verification
  • You will receive a confirmation email once deletion is complete

5.2 Grace Period

After you request data deletion, we provide a 14-day grace period during which:

  • Your account will be deactivated immediately
  • You cannot access the Services
  • Your data is marked for deletion but not yet permanently removed
  • You can cancel the deletion request and reactivate your account
  • After 14 days, deletion becomes permanent and irreversible

6. What Data Gets Deleted

When you request data deletion, we will permanently delete:

  • Your account profile information
  • Customer and patient records stored in your account
  • Appointment, order, and transaction data
  • Messages, notifications, and communication history
  • Uploaded files, images, and documents
  • Usage analytics tied to your account
  • Preferences and settings

7. Data We May Retain

In certain circumstances, we may retain some data even after a deletion request, including:

  • Legal Obligations: Data required by law to be retained (tax records, financial transactions, audit logs)
  • Dispute Resolution: Information necessary for resolving ongoing disputes or legal claims
  • Security and Fraud Prevention: Anonymized data used to prevent fraud and security threats
  • Aggregated Analytics: De-identified, anonymized data used for statistical analysis
  • Backup Systems: Data in backup systems will be deleted during the next scheduled backup cycle (within 90 days)

All retained data will be kept in a secure, restricted-access environment and will be deleted as soon as the legal or business requirement no longer applies.

8. Partial Data Deletion

If you do not want to delete your entire account but wish to delete specific data, you can request:

  • Deletion of specific customer or patient records
  • Removal of uploaded files or documents
  • Deletion of transaction history beyond legally required retention
  • Erasure of specific communication records

Please specify which data you want deleted when making your request.

9. WhatsApp Business API Data

If you have used WhatsApp Business API features through our Services:

  • WhatsApp message logs stored on our servers will be deleted
  • Customer phone numbers and opt-in records will be removed
  • Note: WhatsApp may retain messages on their servers according to their own data retention policies
  • We will disconnect your WhatsApp Business API integration
  • Future WhatsApp messages will not be sent from our platform

10. Third-Party Data Processors

We use trusted third-party service providers (cloud hosting, payment processors, analytics) to operate our Services. When you request data deletion:

  • We will instruct all third-party processors to delete your data
  • Third parties are contractually obligated to comply with deletion requests
  • Deletion from third-party systems may take up to 90 days
  • Payment processors may retain transaction records for fraud prevention and compliance

11. Consequences of Data Deletion

Please be aware that once data deletion is complete:

  • Irreversible: Deleted data cannot be recovered
  • Account Termination: Your account will be permanently closed
  • Loss of Access: You will lose access to all Services
  • Data Export: We recommend exporting your data before deletion (see our Privacy Policy)
  • New Account: If you sign up again in the future, you will start with a new account

12. Children's Data

If we become aware that we have collected personal data from a child under 18 without parental consent, we will delete that information immediately. Parents or guardians can request deletion of their child's data by contacting us.

13. Data Deletion Complaints

If you believe we have not properly handled your data deletion request:

  • We will investigate and respond within 15 business days
  • You have the right to file a complaint with your local data protection authority

14. Changes to This Policy
